Scheduling an Overnight Program

Advance reservations and payment of any fees are required for all programs. (See below: section B To Schedule.)

Please plan your schedule carefully, since it may be difficult to reschedule if your plans change. Please note that Zoo education programs are quite popular and are available on a first-come, first-served basis.

A. Before Scheduling

Review the program description to ensure it is appropriate for your audience. Remember that programs can be custom-designed to meet your needs. To arrange a special program, please contact the overnight staff at (314) 646-4961, or e-mail at overnights@stlzoo.org.

For School and Youth Groups:

A minimum of two adult chaperones per group is required for all programs.  And a ratio of 1:6 is required after the 2 adult minimum is meet.

Adult group supervisors must remain with the students throughout all education programs. Please do not make discipline our job.

The minimum age for an overnight program is 5 years of age.

B. To Schedule

Scheduling: To schedule an overnight program, please submit the overnight request form. For more information, please contact the overnight staff at overnights@stlzoo.org.

Amount of Notice Required: A minimum of eight weeks' notice is required for all programs, if paying by check. Full payment is due 30 days before the program date. Programs scheduled with less than four weeks' notice, require full credit card payment at the time of scheduling.

C. After Registration

Confirmations:

After your registration is processed, we will email the invoice and logistical materials to you. The logistical information includes release forms and medical forms which need to be mailed in with your final payment.  Participants will not be able to attend the overnight without the release and medical forms. The invoice will include the date, time and program reserved for your group. Please double-check all information when you receive your confirmation. Keep the confirmation information. You should have it with you on the date of your program.

D. Payment

For groups scheduling at least 8 weeks in advance, an invoice will be sent. A 30% non-refundable deposit payment is due 30 days from invoice date. Full payment is due 4 weeks before your program. If your payment is not received, your program will be cancelled. For groups scheduling with less than 4 weeks’ notice full credit card payment is required at the time of scheduling. Your reservation is not confirmed until complete payment is received.

E. Cancellations / Refunds / Additions

Please notify the Education Department at (314) 646-4544 option #6 or the Assistant Manager of Youth Programs at (314) 646-4614 immediately if you need to cancel. Another group may be able to take your place.

Refunds:

Two Weeks Prior to Program:

You are entitled to a refund of everything but the non-refundable deposit as long as you cancel with at least 2 weeks’ notice.

Less than Two Weeks Prior to Program:

There is no refund for groups that cancel with less than two weeks' notice.

Additions:

You can add people to your overnight until 2 weeks prior to the date of your program.  To add people please call (314) 646-4544 option #6 to add them and pay with a credit card.  They will still need to complete the release and medical forms.
